Creating Mailboxes in Zapmail: A Step-by-Step Tutorial

Zapmail lets you create mailboxes quickly—either one at a time or in bulk—and assign them to your domains. You can also choose between Google Workspace and Microsoft 365 before creating mailboxes.

This guide walks you through the complete process.


Before You Begin

Make sure:

  • Your domain is already added and active in Zapmail

  • You know how many mailboxes you want to create

  • For bulk creation, you have a CSV file ready (or use the sample template)


Step 1: Open the Mailboxes Section

  • Log in to your Zapmail dashboard

  • Go to the Mailboxes section


Step 2: Choose Your Mailbox Platform

Zapmail supports two mailbox platforms:

  • Google Workspace

  • Microsoft 365

Select your preferred platform by clicking the platform switch button in the top-right corner of the Mailboxes page.

💡 You must select the platform before assigning mailboxes.


Step 3: Assign Mailboxes

At the top of the Mailboxes page, you’ll see the number of unassigned seats available for the selected platform (Google Workspace or Microsoft 365).

  • These seats represent how many mailboxes you can still create.

  • Make sure you have enough unassigned seats before proceeding.

Click Assign Mailboxes to start creating mailboxes.


Step 4: Enter Mailbox Details

Fill in the required details for each mailbox you want to create:

Display name for the mailbox

Last Name

Display name for the mailbox

Username

Email username (e.g., john[email protected])

Domain

Select the domain the mailbox will be assigned to

Profile Photo (Optional)

Upload an avatar if required

Click Add More Mailboxes to create multiple mailboxes in one go.

⚠️ Important: 24-Hour Mailbox Creation Rule

Once a Google Workspace or Microsoft 365 workspace is created for a domain, you have a 24-hour window to assign mailboxes.

After this window, no additional mailboxes can be added for a current billing cycle.

Microsoft 365 – Quick Note

  • The Microsoft workspace must be fully active before mailboxes can be assigned

  • If you skip mailbox creation initially:

    • Wait for workspace activation

    • Assign mailboxes within the 24-hour window

  • Zapmail does not allow adding mailboxes before the workspace is active

💡 Tip: Assign all required Microsoft mailboxes during initial setup to avoid delays.

Step 5: Assign Mailboxes & Place the Order

After entering all mailbox details:

  • Review the mailbox information

  • Click Assign Mailboxes to place the order

Zapmail will begin creating the mailboxes and provisioning them on the selected platform.

⚠️ Important: Once the mailbox order is placed, it cannot be reverted or deleted. Please review all details carefully before clicking Assign Mailboxes.


Step 6: Export Mailboxes to Your Outreach Platform

Once you click Assign Mailboxes, you’ll be redirected to the Export Mailboxes page.

From here, you can:

  • Select your outreach sending platform

  • Enter your platform credentials

  • Schedule the export in advance

Zapmail will automatically export your mailboxes as soon as they become active, so they’re ready to send without any manual steps.

💡 Why this helps: Pre-scheduling the export ensures your mailboxes connect to your outreach tool immediately after activation—saving time and avoiding delays.


Mailbox Status Meaning

In Progress

Mailbox creation is underway

Creating Password

Mailbox is created; password and 2FA setup in progress (takes ~10–15 minutes)

Active

Mailbox is fully ready to use

Failed

Mailbox creation failed — please contact support

💡 Note: Status updates automatically. No action is needed unless the status shows Failed.


⏱️ Expected Mailbox Creation Time

  • Google Workspace: Up to 3 hours

  • Microsoft 365: Up to 12 hours

Creation time may vary slightly based on provider processing and verification steps.
