This guide answers the most common questions about managing domains in Zapmail. Whether you’re connecting your first domain or handling dozens at scale, these FAQs will help you understand how domains work and how to manage them smoothly.


1. How many domains can I buy or connect to Zapmail?

There’s no limit.
You can connect and manage as many domains as you want in Zapmail, across multiple workspaces.


2. What are NS records, and why do I need to update them?

NS (Name Server) records tell the internet where your domain’s DNS is managed.

When you connect a domain to Zapmail, we provide you with Zapmail nameservers. Updating your NS records allows Zapmail to:

  • Automatically configure SPF, DKIM, DMARC, and MX

  • Manage DNS securely

  • Monitor domain health and deliverability

💡 Once nameservers point to Zapmail, you don’t need to handle email-related DNS manually.


3. How long does it take for NS record changes to propagate?

Nameserver updates usually take a few minutes to 24 hours to fully propagate worldwide.

In some cases, depending on the registrar, it can take up to 48 hours.

You can monitor propagation using tools like WhatsMyDNS.


4. Can I delete a domain from Zapmail?

Yes — but the rules depend on how the domain was added to Zapmail.

Before deleting any domain, first check whether it is a Purchased Domain or a Connected Domain.


🏷️ 1. Purchased Domains (Bought via Zapmail)

🚫 These cannot be deleted before expiry.

When you purchase a domain through Zapmail, the registration fee is paid upfront to the registrar for one full year. Because this is a non-refundable annual registration, the domain must remain active in your Zapmail account until it expires.

  • Purchased domains cannot be removed mid-year

  • They cannot be refunded or deleted

  • They will automatically become removable after expiration


🌐 2. Connected Domains (Your own domains)

✅ These can be removed — but only after all mailboxes are deleted.

To avoid errors, follow this order exactly:

Step 1: Delete all mailboxes on the domain

Go to the Mailboxes section and delete every mailbox linked to the domain.

⚠️ If mailboxes are active, they may be locked until the current billing cycle ends.
This is because Zapmail pays Google/Microsoft upfront. In this case, mailboxes will be scheduled for deletion and removed automatically at renewal.

Step 2: Delete the domain

Once all mailboxes are fully removed and the domain is no longer active:

  • Go to the Domains section

  • Select the domain

  • Click Delete Domain

The domain will then be permanently removed from Zapmail.


5. Do I need to manage DNS manually after connecting a domain?

No. Zapmail automatically manages all essential email DNS records (SPF, DKIM, DMARC, MX). You only need to update nameservers once during setup.


6. can I use both purchased and my own domains?

Yes. Zapmail supports:

  • ✅ Domains purchased through Zapmail

  • ✅ Your own externally purchased domains

  • ✅ Bulk domain connections

  • ✅ Cloudflare-connected domains


7. Can I move a domain between workspaces?

Yes, domains can be moved between workspaces (and providers) as long as no active mailboxes are attached.


8. Can I transfer a domain from one Zapmail account to another?

Yes. Domains can be transferred between Zapmail accounts, but this must be handled by our support team to ensure safety and ownership verification.

9. Can I transfer a domain purchased on Zapmail to my own registrar?

Yes. You fully own any domain purchased through Zapmail.You’re free to transfer it to any external registrar (such as GoDaddy, Namecheap, etc.), as long as the following conditions are met:

✅ Important requirements before transfer:

  • The domain must be at least 60 days old
    (This is a global registrar policy and cannot be bypassed.)

  • All mailboxes on the domain must be deleted before transfer.

  • The domain must not be locked due to billing, abuse checks, or disputes.

  • High Reputation and Pre-warmed domain are not eligible for transfer.


💡 Good to know

  • Zapmail does not charge any transfer-out fee.

  • Your new registrar may charge a transfer or renewal fee based on their policy.

  • Registrar pricing and policies are outside Zapmail’s control.

Once the domain is eligible, you can request the transfer and manage it directly with your chosen registrar.


10. Can I purchase domains on Zapmail?

Yes. You can buy domains directly inside Zapmail—no external registrar needed. You can purchase new domains or high-reputation (aged) domains and manage everything from one dashboard.


11. What benefits do I get if I buy a domain on Zapmail?

Domains bought on Zapmail come with:

13. How is Domain Health Score calculated?

Your health score is based on:

  • Email authentication (SPF, DKIM, DMARC)

  • DNS stability

  • Blacklist status

  • Deliverability risk signals

A higher score means a safer domain and better inbox placement.


14. How does domain renewal work on Zapmail?

Domains purchased on Zapmail can be renewed directly from your dashboard. Renewal becomes available 14 days before expiry.

Once renewed, the new validity period is automatically added to your existing expiry date.


15. What is the cost of domains on Zapmail?

Domain prices vary based on:

  • TLD (.com, .net, .org, etc.)

  • Domain type (new vs high-reputation)

  • Registration period (1–10 years)

The exact price is always shown before checkout in your cart.


16. Can expired domains be renewed?

Yes — expired domains can usually be renewed within the grace period after expiry.

  • There is a limited 15 day grace window to renew

  • If not renewed during this time, the domain becomes unavailable and may be lost

18.Can I use a custom tracking domain in Zapmail?

Yes.Zapmail supports custom tracking domains for outreach platforms like ReachInbox, Instantly, Smartlead, and others.

You can set up your own tracking domain by adding the required DNS records provided by your outreach platform inside Zapmail’s DNS settings.


20. Can I add custom DNS records in Zapmail?

Yes. Zapmail lets you add and manage custom DNS records directly from your dashboard.

You can add commonly used records such as:

  • A records (for website hosting)

  • TXT records (for verification, SPF, etc.)

  • MX records (for mail routing)

  • CNAME records (for tracking domains, tools, and redirects)

Zapmail automatically handles email-critical DNS (SPF, DKIM, DMARC, MX) in the background — you only need to add extra records when connecting third-party tools, tracking domains, or websites.


21. Can I change nameservers later?

No. Zapmail requires nameservers to remain pointed to Zapmail.

Changing nameservers will break automatic DNS management and may impact mailbox functionality.


22. What is a High Reputation domain on Zapmail?

A High Reputation domain is a pre-owned, aged domain with an existing history and cleaner reputation. These domains are pre-screened and checked against major blacklists, making them a better starting point for cold outreach compared to brand-new domains.


23. Why should I use a High Reputation domain?

High Reputation domains help you:

  • Improve inbox placement

  • Build trust faster with email providers

  • Reduce the risk of early spam filtering

  • Launch outreach with a stronger domain foundation


24. What is a Pre-warmed mailbox/domain?

A pre-warmed mailbox/domain comes with warmup activity already done. This means the mailbox has sending history, replies, and engagement patterns that help email providers trust it faster.

Pre-warmed mailboxes allow you to:

  • Start campaigns faster

  • Avoid long warmup waiting periods

  • Reduce the risk of spam placement

  • Scale outreach more smoothly


25. Do I still need to warm up High Reputation or pre-warmed domains?

Yes.Even with High Reputation domains or pre-warmed mailboxes, we strongly recommend keeping warmup enabled continuously and increasing volume gradually to protect long-term deliverability.
