How to Connect an Existing Domain to Zapmail

If you already own a domain, you can easily connect it to Zapmail and use it for mailbox creation and cold email outreach. Once connected, Zapmail automatically handles DNS setup and email authentication—so you don’t need to configure anything manually.

This guide walks you through the process step by step.


Why Connect an Existing Domain?

Connecting your domain to Zapmail allows you to:

  • Use your existing domain for outreach

  • Manage domains and mailboxes from one central dashboard

  • Automatically configure SPF, DKIM, DMARC, and MX records

  • Ensure a clean and reliable setup for better deliverability


Step 1: Open the Domains Section

  • Log in to your Zapmail dashboard.

  • From the left sidebar, click Domains.

  • Click Add Domain in the top-right corner and Select Connect Domains.


Step 2: Add Your Domain(s)

Zapmail lets you connect domains in multiple ways—whether you’re adding one domain or hundreds at once. Choose the option that works best for you.


Option A: Manual Entry (One by One)

Best if you’re adding just a few domains.

  • Type your domain into the input field.

  • Press Enter.

  • Repeat the process to add more domains.

  • Click Connect to proceed.


Option B: Paste a List (Multiple Domains at Once)

Ideal for adding several domains quickly.

  • Paste 2–50 domains into the input field.

  • Make sure each domain is on a new line and with comma seperation.

  • Click Connect.


Option C: Bulk Upload via CSV (Up to 100 Domains)

Recommended for large-scale setups or agencies.

  • Click Bulk Upload Domains.

  • Upload a CSV file containing up to 100 domain names.

  • Click Connect.

📄 CSV File Format (Important)

Your CSV file must include a header named Domains, with one domain per row.

Example:

domains 
example1.com
example2.com
example3.io
example4.net

✔ Header must be exactly Domains
✔ One domain per line
❌ No extra columns or additional headers

⚠️ Important Notes

  • Zapmail allows a maximum of 100 non-connected domains at a time.

  • You can remove domains and re-add them anytime as needed.


Once a domain is added, Zapmail automatically verifies its registration status, checks for existing Google Workspace or Microsoft 365 setups, runs basic blacklist checks, and generates the required nameserver (NS) records.


Step 3: Update Nameservers at Your Registrar

To allow Zapmail to manage DNS automatically, you’ll need to update nameservers.

  • Log in to your domain registrar (such as GoDaddy, Namecheap, or Hostinger).

  • Replace the existing nameservers with the nameservers shown in your Zapmail dashboard.

  • Save the changes.

💡 Why this is required
Replacing nameservers allows Zapmail to automatically configure SPF, DKIM, DMARC, and MX records—no manual DNS work needed.

Step 4: Verify the Domain

  • Return to the Zapmail dashboard.

  • Click Recheck to verify the nameserver update.

  • Click Continue once verification is successful.

Note: Nameserver propagation can take up to 24 hours (sometimes up to 48 hours depending on the registrar).


Common Errors & How to Fix Them

Workspace Already Exists
The domain is already associated with an active Google Workspace or Microsoft 365 setup.

NS Records Not Updated
Nameserver changes haven’t propagated yet.


👉 Wait 24–48 hours and verify using whatsmydns.net.

Domain Already Connected
The domain is already linked to another Zapmail workspace.


👉 Check your domain list or contact support for help.


What Happens After Connection?

Once your domain is connected:

  • DNS records are set up automatically post mailbox creation.

  • The domain becomes ready for mailbox creation

  • No additional setup is required.
