This article answers the most common questions users have while setting up and configuring Zapmail — from domains and mailboxes to DNS, billing windows, exports, and security. If you’re new to Zapmail or optimizing your setup, this guide will help you avoid mistakes and get started faster.


1. What is Zapmail?

Zapmail is an email infrastructure platform built for cold outreach. It helps you buy or connect domains, create Google and Microsoft mailboxes, configure DNS automatically, warm up inboxes, and connect mailboxes to outreach tools — all from one dashboard.


2. How does Zapmail help with cold outreach?

Zapmail handles the technical foundation required for cold email success, including:

  • Domain and mailbox provisioning

  • Automatic DNS configuration (SPF, DKIM, DMARC, MX)

  • Warm-up and reputation protection

  • Placement testing and blacklist monitoring

  • One-click exports to outreach platforms

This allows you to focus on campaigns while Zapmail manages deliverability, infrastructure, and scaling.


3. Do I need technical knowledge or manual setup to use Zapmail

No. Zapmail is built to remove technical complexity.

When you buy or connect a domain through Zapmail, the system automatically:

  • Configures SPF, DKIM, DMARC, and MX records

  • Manages nameservers and DNS setup

  • Detects existing Google/Microsoft workspaces

  • Runs basic blacklist and reputation checks

You don’t need prior DNS, deliverability, or email infrastructure knowledge.

Everything required for cold outreach is handled in the background.

You only need to:

  • Choose domains

  • Create mailboxes

  • Connect them to your outreach platform

Zapmail takes care of the technical foundation.


4. Can I use my own domain or do I need to buy from Zapmail?

Both.

You can:

  • Buy new domains directly from Zapmail, or

  • Connect domains you already own.

In both cases, Zapmail manages DNS automatically once connected.


5. Can I host a website on my outreach domain?

Yes. You can add hosting DNS records provided by your website host inside Zapmail’s DNS settings.

However, outreach domains are best used only for email to protect deliverability.


6. Can I change nameservers later?

No. Zapmail requires nameservers to remain pointed to Zapmail.

Changing nameservers will break automatic DNS management and may impact mailbox functionality.


7. Does Zapmail support Google and Microsoft?

Yes. Zapmail supports both:

  • Google Workspace

  • Microsoft 365

You can choose the provider during mailbox setup.


8. What type of Google and Microsoft licenses does Zapmail provide?

Zapmail provides official, business-grade Google Workspace and Microsoft 365 licenses for all mailboxes created on the platform.

They are:

  • Real Google Workspace licenses

  • Real Microsoft 365 business licenses

  • ❌ Not educational accounts

  • ❌ Not legacy/free accounts

  • ❌ Not SMTP-only or virtual inboxes

Each mailbox is created inside a genuine workspace tenant with full email functionality.


9. Will I get admin access?

Yes. Zapmail provides admin credentials for both Google Workspace and Microsoft 365, allowing you to manage:

  • Security settings

  • Users and mailboxes

  • Recovery options

  • App access

  • Compliance and authentication


10. How long does it take to create mailboxes?

  • Google: up to ~3 hours

  • Microsoft: up to ~12 hours

Creation time may vary depending on provider systems.


11. How many domains should I use?

We recommend:

  • Multiple domains instead of one large domain

  • 1–5 mailboxes per domain

  • Rotating domains when scaling outreach

This keeps reputation strong and protects deliverability.


12. How many mailboxes should I create per domain?

We recommend:

  • Best practice is 3 mailboxes per domain.

  • Maximum 5 mailboxes per domain

Lower density improves deliverability and long-term domain health.


13. Do mailboxes come warmed up?

Zapmail offers both:

  • Standard mailboxes

  • Pre-warmed mailboxes

Warm-up is strongly recommended before sending campaigns.


14. What is Zap Shield?

Zap Shield monitors:

  • Blacklists

  • DNS risks

  • Domain reputation

It helps keep domains safe and inbox-ready.


15. What is a Placement Test?

Placement tests show where your emails land (Inbox, Spam, Tabs) across major providers — before running real campaigns.


16. Can I connect Zapmail to my outreach tools?

Yes. Zapmail supports direct exports to platforms like ReachInbox, Instantly, Smartlead, Reply.io, and others.

You can also request exports to additional tools.


17. Can I manually log into mailboxes?

Yes, but manual login is not recommended unless required.

Manual changes can interfere with automation systems.


18. Can I change a mailbox username after creation?

Yes, you can edit the mailbox username from the Mailboxes section.

However, keep in mind:

  • Changing the username requires re-exporting the mailbox to your outreach tools

  • For pre-warmed mailboxes, changing the username resets warm-up history

  • Changes may take up to 1 hour to fully apply

We strongly recommend finalizing usernames before launching campaigns.


19. Will changing mailbox details affect warm-up or deliverability?

  • Changing first/last name or profile photo does not affect warm-up

  • Changing the username (email address) can impact warm-up history and requires re-exports

  • Changing mailbox passwords or admin settings outside Zapmail is not recommended


20. Can I download SMTP, IMAP, and app passwords?

Yes. You can export credentials individually or in bulk.


21. Do I manage everything from one place?

Yes. From your dashboard you can manage:

  • Domains

  • Mailboxes

  • Exports

  • Deliverability tools

  • Subscriptions and billing

Each product (mailboxes, Zap Shield, placement tests) is managed independently under Billing.


22. What should I set up first?

Recommended order:

  • Buy or connect a domain

  • Create mailboxes

  • Connect to your outreach platform

  • Warm up mailboxes

  • Run a placement test
