When creating mailboxes in Zapmail, you may notice that after a certain point, you’re no longer able to assign new mailboxes to a domain. This is expected behavior and is part of what we call the 24-hour mailbox assignment window.
This article explains why this happens, what it means, and how to plan around it.
⏱ What Is the 24-Hour Rule?
When a workspace is created on a domain, Zapmail allows you to assign mailboxes for a limited time.
After 24 hours, new mailboxes can no longer be added to that workspace.
This window exists because once a workspace becomes active, it enters a fixed monthly billing cycle. Adding mailboxes after that point would break billing alignment with Google or Microsoft.
To keep billing accurate and systems stable, mailbox counts are locked once the workspace is live.
💳 Why This Limitation Exists
1. Billing Accuracy
Google and Microsoft bill workspaces as a whole.
Adding mailboxes mid-cycle creates pricing conflicts and inconsistent invoices.
Locking mailbox creation ensures:
Correct billing
Clean renewals
No hidden or broken charges
2. Platform & Provider Restrictions
This rule is primarily enforced by Google Workspace (and applies to Microsoft flows as well in Zapmail).
Once a workspace is created and synced, mailbox structures cannot be freely modified without risking account or billing errors.
3. Deliverability & Abuse Prevention
The 24-hour window also helps:
Prevent spam network creation
Reduce fraud and mass-account abuse
Maintain healthy sending environments
Protect domain reputation
Sudden large mailbox additions are a common spam signal. This rule protects both you and the ecosystem.
4. System Stability
Creating too many mailboxes continuously can overload providers and disrupt authentication, DNS, and warm-up processes.
This controlled window ensures:
Reliable setup
Proper security configuration
Stable workspace activation
✅ What You Should Do
Always plan and assign all required mailboxes upfront
If you need more mailboxes, wait for the next billing cycle or use a new domain/workspace
For Microsoft, ensure the workspace is fully active before assignments
💡 Tip: If you think you’ll scale, create more mailboxes early and keep them warmed up.
➕ How to Add More Mailboxes After the 24-Hour Window
If your 24-hour assignment window has closed and you need more mailboxes, you still have two options:
✅ Option 1: Buy a New Domain
You can purchase or connect a new domain and create a fresh workspace. This opens a new mailbox assignment window immediately.
👉 Refer to the guide: How to Buy or Connect a New Domain
✅ Option 2: Schedule Mailboxes for the Next Billing Cycle
Zapmail allows you to schedule new mailboxes to be created in the next billing cycle.
This ensures:
Billing remains accurate
The new mailboxes are added safely
No disruption to your existing workspace
👉 Refer to the guide: How to Schedule Mailboxes for the Next Billing Cycle
⚠️ Important Notes
The 24-hour window starts once the workspace creation begins
After the window closes, mailbox slots are locked
This is not a Zapmail limitation — it comes from provider and billing constraints
