Guide to Connect Existing Domains

This guide will help you integrate your existing domains with the Zapmail platform, enabling efficient management of your mailboxes for cold email outreach.

Why Should You Connect Your Existing Domain?

Connecting your existing domain to Zapmail provides several benefits:

  • Leverage your established domain for email outreach.

  • Manage all domain-related activities from a single platform.

  • Ensure your email protocols (DKIM, SPF, DMARC, MX) are correctly configured for optimal email deliverability.

Step-by-Step Guide

  1. Start by navigating to the Domain section. Click on the “Add Domain” button at the top right, then select the “Connect Domains” option.

  2. Add your existing domain and click on Connect Domain.

  3. Once your domains are connected, Replace the NS records in your domain registrar and click on Verify.


    Our system will automatically recheck the NS records, and once they are updated, the domain will be connected automatically.

    Note: Replacing NS records allows Zapmail automation to automatically set up SPF, DKIM, and DMARC records.

  4. After Replacing the NameServer in your domain registrar, it will take approximately 24 hours to propagate the changes.

    Note:- If you purchased your domain through Cloudflare, you won’t be able to connect it to zapmail directly because Cloudflare doesn’t allow name server changes for domains registered with them.
    To use your domain with zapmail, you’ll need to transfer it to another registrar (like GoDaddy or Namecheap). Once the transfer is complete, you can update the name servers and connect it to zapmail without any issues.

  5. Once the domain changes have propagated, click on the Recheck button in the Zapmail Dashboard.

  6. Click on Continue.

  7. Your domains will now be connected to Zapmail

    Note on Common Errors When Connecting a Domain

    If you encounter any of the following errors during the domain connection process, here’s what they mean and how to resolve them:

    • Workspace Already Exists: This error indicates that a mailbox is still active on the domain you're trying to connect. You will need to reach out to the domain registrar (from whom you purchased the domain) and delete the existing mailboxes associated with it. You will need to delete the workspace where the domain currently exists in order to connect it again successfully.

    • NS Records Not Updated: Please ensure you've updated the NS (Name Server) records provided in your Zapmail dashboard to your domain registrar. NS record propagation can take up to 24–48 hours. If the domain still doesn't connect after 48 hours, verify the records using whatsmydns.net to ensure they are pointing to Zapmail.

    • Domain Already Connected: This message appears when the domain you're trying to add is already connected to a Zapmail account. Please check your domain list to avoid duplicates. If needed, contact support to help identify and resolve the issue.

  8. To add mailboxes, navigate to the Mailbox section, click on “Add Mailboxes,” and then select “Buy New Mailboxes.”

  9. Select the number of mailboxes you need.

  10. Click on Proceed to Buy.
